Mission:

To advocate, educate, advance, celebrate and create opportunities for those in the 2SLGBTQIA+ community to live safely and openly as themselves in Thunder Bay and Northwestern Ontario. To achieve acceptance and respect of differences and diversities and to foster an understanding within the general public of the diverse cultural complexities that influence identity and self-expression of 2SLGBTQIA+ community individuals.

Chair of the Board Job Description

The Chair’s main role is to provide leadership to the Board of Directors and ensure that the integrity of the Board’s processes is maintained by doing the following: 

● Be bondable ( Canadian Citizen, 18 years of age, no prior fellonies)

● Obtain a police record check for working with the vulnerable persons sector (we will reimburse)

●Arrange and Attend all board meetings (every 2nd Monday of the month 6pm & May/June every Monday)

● Establish agendas for each Board of Directors meeting, unless it is a special meeting called as outlined in 7. 13 in the Bylaws

● Undergo annual strategic planning with all members of the Board and ensure that the goals are aligned with the mandate and desires of the Board 

● Assume overall accountability for THUNDER PRIDE ASSOCIATION assets, records, deliverables, and performance of the Executive, its committees and working groups 

❖ Accountability includes, but is not limited to requesting updates from Board Executives and Non-Executives to help ensure that assets, records, and community activities are regularly updated on at Board meetings 

● Act as the primary contact for the Board members, Directors and Officers, Diversity Office, Diversity Council and all other senior management partners 

● Delegates responsibility as required to those within the Board 

● Support Board members, Directors and Officers in the execution of their duties and priority initiatives, including reviewing and approving business cases and providing strategic direction/advice 

● Lead the Board in monitoring and evaluating the performance of senior management, if any, through an annual process 

● Responsible for managing subsidiary Prides

● Responsible for ensuring The Organization has a presence at all major community events and functions 

● Responsible for representing The Organization at community events and functions 

● Foster a team spirit within the Board members, Directors and Officers, and THUNDER PRIDE ASSOCIATION general membership. The Vice Chair of the board shall be a director. If the Chair of the board is absent or is unable or refuses to act, the Vice Chair of the board, if any, shall, when present, preside at all meetings of the board of directors and of the members. The Vice Chair shall have such other duties and powers as the board may specify. 

● Responsible for the final approval of job descriptions of paid positions 

● Responsible for creating a committee of at least five (5) Board members to conduct interviews on individuals interested in joining The Organization in a paid position

● Responsible for drafting updated Mandate Letters for each Officer, upon the conclusion of the AGM, outlining the goals, expectations and scope of authority as they apply to the strategic direction of the Organization and include any updates or amendments that are communicated at the AGM 

● Responsible for organizing the annual Board Retreat, in cooperation with the Executive, to ensure all new Board members and existing Board members are kept current on the function, operation, mission and vision of the organization.

Executive Secretary Job Description

The secretary works collaboratively with the Vice Chair to support the Board in fulfilling its fiduciary responsibilities. Keep a roll of the names and addresses of the Members. Ensure the proper recording and maintenance of minutes of all meetings of the Corporation, the Board and Board committees. Attend correspondence on behalf of the Board. Have custody of all minute books, Online Drive storage, documents, registers and ensure that they are maintained as required by law. Ensure that all reports are prepared and filed as required by law or requested by the Board. The roles of the Secretary and Treasurer may be kept separate or combined depending on the needs of the Executive and the interests/skills of the candidates. If separate, they should act as backups for each other.

● Draft communications materials for the Executive 

● Provide administrative support for Executive meetings ,including distributing agendas, taking minutes, and other duties as required 

● Retain and secure all completed membership paperwork, ensure contact information is complete with delivery method for THUNDER PR IDE Association mail, assign membership card with corresponding number and collect annual fee 

● Advise Board monthly of any additions, changes or concerns, include a hard copy/email copy for tracking

At-large Director Job Description

Attend all board meetings (every 2nd Monday of the month 6pm & May/June every Monday)

Engage in board meetings actively

Participate in day of organizing Pride Parade and Festival

working in your own time on projects or assignments. Secretary and Treasurer positions are daily time commitments

Donate to the board annually(membership dues)

Support board decisions even when they voted against them

Obtain a police record check for working with the vulnerable persons sector (we will reimburse)
